Business Need
A major financial institution with a payroll service bureau operation has
clients entering payroll data through various time clock systems, spreadsheets,
and files. A payroll implementation specialist is needed to manually import the
data into the payroll system. First, the data is converted into a pre-defined file
format for each file type. The data is then validated and finally imported into
the payroll system using an existing utility. Our client recognizes that this process
is inefficient and needs to be streamlined. The objectives are:
- Establish a business process to efficiently execute time entry imports
- Develop a tool to standardize the file formats
- Minimize manual effort currently required
- Exceed client expectations regarding delivery and costs

Approach
America OnShore (AOS) worked along with the payroll service bureau to clearly
define its business needs
and document its requirements.
AOS proposed a two-step
approach, 1) clearly define a systematic process to import client data to ensure
quality services, and 2) develop an automated tool that would convert data into
a standard file format. This would significantly improve the labor intensive process
currently used to create custom time entry imports. This recommendation was based
on AOS's assessment of the business needs and understanding of the requirements. |
Result
Leveraging AOS's payroll expertise and technical knowledge, AOS developed
an automated data conversion tool that transformed any file format into a defined
structure. The tool was developed using Microsoft technology, .NET framework, and
XML/XSLT technology. The user-friendly tool is highly-customizable and requires minimal
on-going maintenance. It converts data into a defined file format which is used
by the payroll system import process regardless of the source system. The payroll
service bureau is now able to deliver a time clock import efficiently, meet client
expectations and do it in a cost effective manner. |
